Coast and Harbor Associates, Inc. seeks an Administrative Manager to organize and coordinate office operations and procedures, in order to ensure organizational effectiveness and efficiency in their corporate office. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
  • Designs and implements office policies to streamline various office processes
  • Serves as point person for maintenance, mailing, supplies, equipment and shipping
  • Organizes and schedules meetings and appointments
  • Manages incoming company data and files it electronically as appropriate
  • Provides support to Program Development Officer for contract management activities for projects
  • Partners with Financial Manager to maintain office policies and employee onboarding
  • Coordinates and assist with Request for Proposal Responses
  • Provides support to Financial Manager with invoices, billings and filings
  • Processes and reviews company-wide timesheets for payroll
  • Reviews solicitation and RFP sites to procure new projects
  • Coordinates all travel and accommodations for company
  • Management of social media LinkedIn page
  • Update organizational memberships with various state and federal agencies
·         High School Degree (Bachelors Preferred)
·         A minimum of five (5) years’ experience with similar work
·         Excellent interpersonal skills
·         Analytical and problem solving skills
·         Attention to detail and high level of accuracy
·         Highly effective organizational skills
·         Proficient computer skills (Microsoft Suite Software, Adobe Software’s, Document Design Software’s, QuickBooks)
·         Knowledge about the Construction field is preferred
